Let's start with the basics. What is a content request?
If you manage a marketing, communications or dedicated content team within a company, you probably know all too well how you get hounded and pinged regularly by stakeholders throughout your company with requests for content assets. For many companies, this is a very informal process. Requests come either verbally or make their way to your email inbox. And this may work fine for smaller companies. But for larger companies who have hundreds of employees, managing a never-ending onslaught of requests can become a communications and management nightmare.
Requests can easily get lost or buried in email inboxes. You can get backed up quickly trying to triage and review incoming requests. Requesters get frustrated and hound you for status updates. Yuck.
To aid in helping you formalize, manage and even IMPROVE your request intake process, we've built a Content Request Tool that ties in seamlessly with DivvyHQ's existing content strategy, ideation, planning and scheduling features.
In a nutshell, the Content Request Tool allows users to execute the following:
- Build and manage request forms - think of them as creative briefs that stakeholders need to complete and submit
- Share the forms throughout your company - each form has a public URL
- Get notified as new requests are submitted
- Manage all request submissions in a dedicated interface
- Review and edit individual requests and determine next steps
- Convert requests that you've approved into content items/projects
- Deny and archive requests that are not approved
And if that wasn't enough, the original request data will always be stored and visible as the request gets converted into a real project, and makes its way through your content planning and production process. Once you start using the new requests feature, you'll start seeing a "Brief" tab available on content items, which is where the original request data is stored.
Ok, enough with the overview. The rest of this article will introduce the administrative interface for building and managing your request forms, and provide links to articles that dig in deeper to specific components of the content request tool.
The Content Requests Admin (Settings)
To get started creating a form, head up to the top-right menu (click your name) and select "Content Requests Admin". This is the new administrative area that allows you to create forms, add branding elements to your forms, and manage the individual forms you create.
NOTE: Admins, Editors and Contributors can create forms, but only Global Admins can edit form branding features.
If you're just getting started, there won't be any forms listed until you create one. So that's an obvious next step. Use the list of links below to help you through this, along with getting acquainted with all the other components.
